The Opportunity

Simpson Booth are currently working with a manufacturer of technically engineered products, supporting them in the recruitment of a Logistics & Sales Support Coordinator. This is an urgent requirement for a company that is a specialist manufacturer of highly specified insulated products for the oil & gas and wider energy industry. This role is based out of their corporate head (and global) office in Hammersmith, London.

Under functional leadership of the Operations Manager and close collaboration with the Logistics and Systems Specialist the post holder will support the company order handling processes and activities in defined areas.


Position Responsibilities And Role Overview

-   Direct purchase order handling

-   Verify received purchase orders with relevant quotations submitted to the client

-   Enter purchase orders into the ERP system (SAP)

-   Calculate number of packages, weights, volume, containers required to deliver the goods

-   Prepare delivery schedule in line with the client’s requirements

-   Update the clients regrading material availability, delivery status and other details that might be required by client

-   Coordinate with freight department to schedule the loading dates

-   Coordinate with distributor to create deliveries, prepare packaging and special requirements of clients

-   Coordinate with customs department to prepare required documents for export

-   Create invoices in SAP in line with the contract

-   Provide bill of lading (BL) instructions to the Customs Department to submit to shipping agent

-   Support in creating shipping documents customised to clients’ needs

-   Follow up with distributor to get the picking list incl. batch number record and file them

-   Submit picking list with batch numbers to the QA department to create the Certificate of Conformity (COC)

-   Follow up with customs department and freight forwarder to receive the draft BL

-   Request insurance certificates from customs department if required

-   Submit the BL along with shipping documents to client for final approval

-   Print the original approved documents and courier them to client

-   Support local indirect purchase order handling

-   Support with container calculation

-   Support with shipping documentation preparation

-   Accounts receivable tracking

-   Update accounts receivables list and inform customer on deadlines

-   Follow up with Finance Department for weekly update of account receivables


Ideal Candidate Background

-   A finished apprenticeship or college level qualification

-   Advantageous would be first-hand experience in order handling

-   Advanced knowledge in Word, Excel and Power Point would be required

-   Previous knowledge in SAP

-   Excellent English language skills essential

-   German or Chinese (Mandarin) language (working proficiency level) would be an advantage

-   Furthermore a cooperative, team- and service oriented behaviour would be beneficial
