Role Purpose

To provide secretarial and administrative support to the China Team that sits in the UK Development – London team daily to ensure that their needs and the clients’ needs are met. From time to time they may be required to assist other members of the sector and wider department.


The team varies from surveyors to Senior Directors. This is an excellent opportunity for someone who is looking for a role where they will be able to develop and to really get involved with the business.





Key Secretarial Responsibilities

• Supporting the China Desk in the Central London Development team. This consists of 5 individuals from Director to Surveyor level.


• Effective “gate keeping”: managing all incoming communication (including phone calls when the team members are out of the office), efficiently establishing priorities and ensuring that all correspondence and enquiries are processed in an accurate, professional and timely manner


• Extensive diary management for all of the team (13). This involves organising client and internal meetings, lunches and dinners, and occasional travel.


• Creation of PowerPoint presentations and pitches to a high standard


• Being the lead in setting up projects for team including – compliance and conflict checks, e-files, terms of business ensuring we are always thoroughly compliant with ISO


• Assist the team in going ‘paperless’ – scanning, filing, archiving


• General Admin duties: Formatting letters and raising and sending invoices to client


• Collecting marking material data including managing brochures, updating property stock lists and schedules


• IT champion for internal systems/software to help assist the team when needed


• Preparation of outgoing correspondence and various other documents - typing, amending, formatting and binding reports using Word, Excel, PowerPoint, PDF, including merging of documents


• Meet and greet clients, including booking meeting rooms, equipment and organising refreshments as necessary


• An understanding of the team’s priorities - communicate with the team, ensuring a high level of awareness of current priorities and whereabouts


• Expenses management


• Monthly billing


• Preparing invoices to clients and keeping accurate records of expenses, disbursements on specific jobs.


• Providing support to members of the City team when working from the West End office


• Other ad hoc tasks as and when required






Person Specification/Requirements

• Previous Secretarial/administrative experience, ideally within a Professional Services organisation


• Must be fluent in English and Mandarin


• Must understand the Chinese culture


• Previous experience in the property industry would be an advantage


• Excellent IT skills (Word, Excel, MS Outlook, PowerPoint) for the production of high quality documents, reports, correspondence and diary management


• Experience of working with internal/external clients


• Ability to prioritise and co-ordinate tasks efficiently ensuring all deadlines are met


• Pro-active and enjoys working autonomously and as part of a wider team


• Being ‘one step ahead’, i.e. knowing where they need to be, when and with the right paperwork


• Maintains a positive attitude towards routine tasks


• Accurate and exceptional attention to detail


• Extremely professional and approachable whilst also being adaptable


• Understands and appreciates the importance of using discretion


• Minimum typing speed of 50 wpm


• Excellent communication skills, both verbally and in writing


• Good interpersonal skills


• Flexible approach to work
