Two Vacancies at the Australian Embassy, Beijing

– Office Manager, Australian Federal Police (LE 7)

– Office Manager, Defence Attaché Office (LE 7)


The Australian Embassy is seeking expressions of interest from suitably qualified persons to fill the position of Office Manager, Australian Federal Police Liaison Office. This position is part-time (approx. 20 hours per week) fixed term 12 month contract with a possible extension. The annual salary for the position is RMB172,988.


The Australian Embassy is also seeking expressions of interest from a suitably qualified person to fill the position of Office Manager, Defence Attaché Office This position is full-time and the annual salary for the position is RMB325, 375. The position is available from January 2015 (security clearance pending).

Australian Consulate-General Shanghai Visa Office


Office Manager (LES 9)

The Australian Visa Office in Shanghai forms an integral part of the operations of the Department of Immigration and Border Protection in China.

The Visa Office is seeking applications from suitably qualified candidates interested in Permanent employment in the above position. We welcome applications from Australian and Chinese nationals as well as diplomatic spouses.

The successful candidate will be expected to undertake the duties described below. This selection exercise will also be used to establish an order of merit for appointments at the Visa Office in the next 12 months.

Office Manager (DSB LE 9) Duties:

• Management of financial processing, budgeting and reporting, including revenue reconciliation, banking, accounts payable and delegations and record keeping.

• Management of monthly post performance report and statistics. Collate and reconcile reports for China region.

• Management of office procedures to ensure audit requirements are met.

• Human Resource Management, including supporting recruitment exercises, monitoring staff entry and exit procedure, staff record keeping and assisting the post manager on staff conduct issues.

• Overall management of filing systems and record keeping.

• Overall management of purchasing and stock maintenance of office supplies, monitoring assets management.

• Liaise with other government agencies and National Office in Canberra.

• Coordinate office activities and functions including training logistics.

• Assist the Post Manager with other reporting requirements and office specific projects.

• Supervision of the Administration Unit within the Visa Section

The successful applicant will have:

• Tertiary education, preferably with a degree in Business Management or Accounting.

• Excellent financial and office management skills, sound knowledge of audit requirements.

• Excellent organizational skills and the ability to prioritize workloads.

• Excellent writing and communication skills.

• Ability to work under pressure and meet deadlines.
