来到国外读书、工作,免不了要书写正式的英文邮件,很多童鞋在面临需要使用英文来写邮件的时刻,往往不知道如何下笔,担心自己写出来的东西太口语化,影响自己在老师、客户、领导心中的印象。那么应该如何书写一封简单明了、稳重流畅的正式邮件呢?小编在网上为童鞋们搜罗了一些英文邮件中常用到的神句,只要掌握了这些神句,分分钟提升你的邮件逼格,赶紧来学习一下吧!


基础邮件步骤

STEP 1:问候语 Greeting

一般最常使用的问候语是 —— “Dear + 收信人姓名”。如果是写信给长辈或领导、客户,加上称谓会比较正式,平级同事或合作伙伴直接写名字即可。

 

当遇到收信人不确定的时候,比如转寄给某项目的相关人员,可以用:


a) To whom it may concern,


b) Dear Sir or Madam,

 

格式上需注意的是,所有的Greeting后面都要加逗号,然后空一行开始信件正文。


STEP 2:告知目的 Purpose

在详细表述内容之前,一般需要一句提纲挈领的话告知对方此封邮件的重点:


a) I am writing to inquire…

写信来询问有关…


b) I am writing in reference to…

这封信是关于…


c) 回信的开头可以说Thank you for reaching out to us regarding…

感谢您联络我们…

 

In reference to和Regarding是“有关”、“关于”的意思,行文中使用会比较正式。而我们熟悉的About则比较口语化,邮件中最好不要用。童鞋们可以对比感受一下下面这几种表达的不同:

 

1) 口语:I’m talking about the meeting scheduled for next week.


2) 正式:I am writing in reference to the meeting scheduled for next week.


3) 正式:I am writing to you regarding the possibility of scheduling a meeting for next week.

 

这里In reference to与Regarding的一点点不同在于,In reference to用于已经跟对方提到过的事,而Regarding的用法比较广泛。


STEP 3:正文 Content

对于商务邮件来说,最重要的一点就是要简单明了、直入主题,千万不要用太长的句子来展示你的英语水平!常用到的句子有:


a) Please review the attached documents thoroughly.

请仔细查阅附件。


b) I have attached the previously mentioned documents for your review.

上述所提文件已附在文章附件,请查阅。


c) Please see the attached documents for a quotation of the requested services.

请参阅附件内的服务相关报价。


STEP 4:结尾 Closing

在邮件的结尾,通常我们会客气地说辛苦、感谢、随时沟通之类的话语,比如:


a) If you have any further questions or concerns, please don’t hesitate to contact me.

如果您有任何问题,欢迎随时沟通。


b) Thank you for your time and consideration.

感谢您的宝贵时间。


c) I look forward to hearing from you.

盼复。


STEP 5:结尾敬语及签名档 Sign Off & Signature Block

这里需要注意的就是首字母大写就可以了,不用全部大写,然后别忘了再加一个逗号。常用的结尾敬语有:


a) Sincerely,


b) Yours sincerely,


c) Respectfully,


d) Best regards,

 

然后自己的签名档要跟在结尾敬语后面,像下面这种格式一样:

再客气一点,最后加上Thank you for your assistance.


回答对方的问题的邮件

对于这种邮件,结尾可以加上Hope this answers your question. Let me know if further detail/explanation would be helpful.


寻求意见的邮件

a) Our team would appreciate your insights/input on…


b) Due to the short time frame for this proposal, prompt reply is greatly appreciated.


通知会议取消的邮件

a) I want to be mindful of your time and we don’t have any updates at this point; therefore I suggest that we cancel/reschedule today’s meeting. If you disagree or need assistance, please let us know.


b) My apologies for the late notice, but I need to reschedule tomorrow’s call. There remain a few open items we need to address; therefore I will send out a new invite once we agree upon a time.



会议总结的邮件

Thank you for making time on a very busy Friday afternoon to join our discussion. I hope we were able to provide clarity on… Attached is a summary of what we discussed today.


表达歉意的邮件

a) My sincere apology for this unfortunate situation. I will address to my team immediately.


b) Again, please accept my most sincere apology.


跟客户分享进展以后,建议电话详谈的邮件

Once these final steps are finished, I would suggest having a brief call to discuss our findings and recommendations for next steps. Would you please provide a few times the week of xxx that work within your schedule and I will send the calendar invite?


文件草稿请求上司过目的邮件

Attached is the drafted xxx file. It is still a work in process but I would like to see if anything immediately stood out to you as odd or worthy of follow-up.


休假或无法及时处理邮件时,自动回复内容可以参考以下句子

a) Thank you for your e-mail. I will be out of the office on vacation from xxx – xxx with no access to e-mails. I apologize for any delay in response to your e-mail. I will respond to your e-mail as quickly as I can when I return to the office. Thanks!


b) Thank you for your e-mail. I am out of the office in meetings on xxx and xxx with limited access to e-mail. If you need immediate assistance, please contact me via my mobile phone. Thank you!



通过邮件来问好

a) I hope that your week is off to a great start.


b) Hope you had a great weekend.


c) Hope you’re well / Hope you are doing well.


d) I hope this message finds you well.


用来投诉的邮件

a) There were some small issues which we probably need your attention to look upon.


b) Due to the discrepancies in xxx issue we need your attention to resolve the problem.
